Collections: What do do if a Student fails to pay.
Please study all options on this page very carefully because it's very important to the overall "health" of the ARCS Program, to prevent Collections.
- When a Student is past-due, Coach will receive an email notification.
• Coach should mark Student as "past-due" or "in collections" on their Student Spreadsheet or other documentation.
• Coach is then responsible to contact their Student, to resolve the collections... - Each Coach will develop their own style in how they contact students about collections, but it is important to make students aware that collections are serious and should be proactively avoided.
- Coach has several options regarding how they can contact a Student in collections (all options listed, below).
Suggested contact content will be presented in this format.
Collections "Nudge": Gentle Reminder

Concern Check-In: for No-Show or No Communication
Sometimes, Students don't respond to our collections attempts because they are overwhelmed.
Remember, they don't know that they have the option to take a Leave of Absence (LOA), unless/until we inform them of this!
So, sometimes, it's appropriate to just "check in" to see if they are alright, and let them know it's OK to communicate with you about whatever difficulties they are facing.

Collections Remediation: to Prevent Chronic Collections
- Below, you will find two suggested messages, to prevent chronic collections.
• One message is more "severe", and the other more "relaxed" -- up to Coach's style.
• Both suggested messages provide Student with a link to the "Tuition Remediation Page"
- Text/Email Ms. Gill to let her know, if you send a Student to the "Tuition Remediation Page".
All Professors should become familiar with the "Tuition Remediation Page":

48-Hour Notice: for Chronic Collections
If your student is in "chronic collections" (more than 2 weeks), it's important to either get resolution or withdraw them.
We do not want them to continue getting charged if they are not attending your class and/or not paying (more than 2 weeks).
We do not want them to continue getting charged if they are not attending your class and/or not paying (more than 2 weeks).
- Send your Student a "48-Hour Notice" (content, below).
- Email Ms. Gill to request either Leave of Absence (LOA) or withdrawal, on behalf of your student.
- Recommended Leave Times:
• Standard: 30 days, max
• Extended, due to enhanced hardship: 60 days, max
• Admin will make exceptions based upon Coach recommendations.
It's [Ms.Mr. Professor Last Name] :) Admin sent me this message regarding your Student Account!
You will be formally withdrawn from the CARC Coaching Certification Program within 48 hours, unless you contact your Professor.
Once you are permanently withdrawn, you will not be eligible for Grant Funding in the future!
POSSIBLE SOLUTION: You can also take a Leave of Absence. During leave, your tuition stops, you don't attend classes and your don't access your coursework -- but your Grant Funding is held in reserve for your return.
