Class Building - Contacting Applicants
When you order ARCS Marketing Services, ARCS Program Applications and Free-Class Registrations will arrive in your inbox.
This is the primary way that most Teachers build their classes.
ARCS Ad content may vary, but the basic premise will be to invite prospects to attend a free initial class. In addition to the coaching opportunity, some ads may also offer the opportunity for immediate income through the ARCS Referral Program.

SECTION 1: MAKING INITIAL CONTACT
1. Once your ARCS Web Pages are established and you decide upon Marketing Options, ARCS Program Applications will arrive in your email inbox.

2. Confirm that applicant has consented to receive texts.
Most Applicants consent to receive texts from ARCS because the application lists this as a requirement, however you must still confirm that each applicant has checked off this field.
- A check mark for consent will be listed as "1" in the "consent to text" field of any Application/Registration Form.

- Based upon Federal Law (FCC Regulations) you can only call or email an applicant, if they have not indicated consent to text on their application.
3. Make Initial Contact (usually by text):
Hi [Applicant First Name], my name is [Ms.Mr. Professor Last Name] and I'm a Professor with ARCS :) You registered for a Free Online Class to "HEAL & COACH OTHERS".
I have your seat reserved to drop by my online classroom on [Class Day(s)] ANYTIME BETWEEN [Class Hours, *TIME ZONE]

Day Before Class Reminders: for all Visitors
This reminder is very important because it gives visitors the opportunity to prepare for their Free Class.
It's [Ms.Mr. Professor Last Name] with a friendly reminder that you can drop by our online class "HEAL & COACH OTHER SURVIVORS" tomorrow, ANYTIME between [Class Hours and TIME ZONE].
1. Stay for as LITTLE or as LONG as you wish.
2. Make sure you convert my open classroom hours to YOUR TIME ZONE!
I'll text you all the info you'll need to get into our class tomorrow. See you then :)

SECTION 3: DAY-OF-CLASS

1. Go to https://zoom.us/ (or get Zoom Meeting Phone App)
2. Click on "Join a Meeting"
3. Enter our MEETING ID: INSERT MEETING ID
4. Enter your First Name
5. Enter this week's PASSWORD: INSERT PASSWORD

It's [Ms.Mr. Professor Last Name] with the online class "HEAL & COACH OTHER SURVIVORS". I had your seat reserved last week, but didn’t see you! Everything OK???!!

If someone doesn't show in her class this week, Ms. Gill waits until Class Day of next week to contact them.
After she sends Day-of-Class Info texts to all students and visitors (Section 3, above), she will send her no-shows from the previous week this message:
- Clarify their Application Status
Ms. Bradley contacts No-Shows to ask them directly about whether to keep their information on file. She reports that many people wish to keep their Application status "active", so they show up!

Send whenever someone inquires about next steps to enroll
You've been pre-approved for either grant, so just pick the one that works best for you:

If you do not hear a response in 2-3 days, re-send this slightly more urgent enrollment message and link:
It's [Ms.Mr. Professor Last Name] :) Admin just contacted me about you because they're holding Grant Funding for you, and they need to know which Grant you want! You've been approved for either, so just pick the one that works best for you:

Possible Response 2: Not Interested
The student may actually wish to enroll, not realizing that they have options like a "Late Start Date".
We don't "twist anyone's arm" to enroll --- we don't have to --- but it's important to apprise students of all of their options.
Is it a matter of finances or timing? If so, you can choose a later start date and admin will hold your Grant Funding for you ;)

SECTION 7: STUDENT ENROLLS
1. Confirm Enrollment
• You will receive email confirmation of Student's enrollment, the next day.
• Many Coaches ask newly enrolled students to text or email them a screenshot of their enrollment receipt, so the Coach can
pre-confirm Student's enrollment without waiting until the next day.
2. Only if New Student does not have an application on file, have them complete your Grant Application.
(to find your grant application, check your email for: "Your ARCS Web Pages")
The Grant Department need you to complete this application to attach your funding:

3. Send the ARCS Welcome Email to New Student:

Only send a welcome text to new student if you have gotten permission to text them (see Section 1, above)
